Tablewide Free Preview Terms

These short terms are between Aaron Vontell, doing business as Tablewide ("we", "us") and the organisation that asks for a free preview ("you"). They are all that applies to a free preview. Our full Terms of Service apply only if you subscribe or buy our paid Migration Service.

P1. When these terms apply. They apply when someone gives us a written yes (email is enough) to build a free preview from your organisation's public pages, or uploads an export for a free migration preview, without subscribing. We send these terms, or a link to them, with our offer. A yes counts only if it comes from an email address at your organisation's own domain. That yes or upload accepts these terms and nothing else, and counts as your signature. These terms do not cover a preview made under a quote for our paid Migration Service; Terms of Service Section 7.5 covers that. A preview does not reserve a founding place (Terms of Service Section 5.9(a)).

P2. Authority. The person who says yes confirms that they are involved with the organisation and allowed to ask for a preview for it. The person who uploads an export also confirms that the organisation may share that content with us.

P3. What we do. Before your yes, our AI agents only read your public pages to write our offer; what they read can remain in their working records (P5). We build no preview and store no copy of your pages on our servers until you say yes. After your yes we build a private preview wiki on our servers in the United States and send you a private link. AI agents do the work (currently Anthropic's Claude, which we use under its standard terms for individual accounts, without a data processing agreement, and with model training turned off). For an uploaded export, the import runs as code on our servers; AI agents see only its report (page counts, warnings and errors, which can name a page) and open your pages only at your written request. There is no charge and nothing to sign up for.

P4. Your content. You keep all rights in your content. You give us permission to copy, convert and host it only to build and show you the preview, and for no other purpose. We do not use it to train AI models. We keep anything in it that is not public as confidential, except that our AI provider processes it as P3 and P5 describe, and we may disclose it where the law requires (we will tell you first if we lawfully can).

P5. Deletion. The preview, our copy of your public pages and any export you uploaded are deleted automatically 7 days after the preview is created, unless you subscribe first or we agree an extension in writing (no more than 30 days after creation). You can ask us to delete it sooner at any time by replying to us or writing to [email protected]. Backup copies roll off within 30 days after deletion. One exception: our AI agents' session histories keep copies of what they read while writing the offer and building the preview. We have no fixed schedule for deleting these yet, so they are kept until we delete them. If you ask, we delete them within 30 days, and our AI provider removes them from its systems within a further 30 days (Privacy Policy Section 4).

P6. What not to include. Please do not upload health records, payment card data, government ID numbers, passwords or other secrets, special categories of personal data, or personal data of children under 16. If your public pages include such data, tell us and we will leave those pages out. Because there is no data processing agreement with our AI provider, please don't upload an export holding member, donor or customer personal data you aren't comfortable sharing on these terms.

P7. No promises, small limits. The preview is free and provided as is, with no warranty. Neither of us is liable to the other for indirect or consequential losses, and each party's total liability to the other for the preview is limited to US$100, except where the law does not allow a limit (for example for fraud). You give us no indemnity.

P8. Personal data. For the preview we decide how personal data in it is used, as our Privacy Policy describes, and only to provide the preview. If your organisation is in the EEA, UK or Switzerland, we can build a preview from your public pages, but please don't upload an export: we build previews only in the US and with AI agents, and we can't yet offer the data transfer terms an export of your internal content would need.

P9. Law. New York law governs these terms. Either of us may bring a claim in any court with jurisdiction, including small-claims court. There is no jury waiver and no arbitration.

P10. Ending. Either of us can end the preview at any time; we then delete it as in P5. P4, P5, P7, P8 and P9 survive.
